Catering an event on a budget can actually be realistic, but you must give yourself lots of time to plan and pick apart all of the details. There are caterers all over Birmingham and we will share with you our favorite caterer at the end of this article.

You’ll want to take the time to research the caterers in your area until you find the most suitable one for your event. You could ask friends for referrals, and get at least a few caterers to choose from.

Make sure the caterer you choose wants to help you, and knows that you are on a very tight budget. Also, realize that finding a good deal might be harder if your event falls in a busy time for caterers.

Utilize your caterer’s experience, ask for menu suggestions and find out what the most affordable dishes they offer are.

Many caterers specialize in certain types of events, so, look for a cater that specializes in your event. If yours is a big event, hiring in advance becomes all the more important. Holiday and Wedding seasons will surely drive the costs of your event up, so consider an alternative date for your event.

Make sure you discuss all the extra details which can translate into added costs, and added strain on your budget. Some of those include: delivery fees, staffing fees, circumstantial fees, taxes, gratuity, and so on. Get it all in writing and make sure your contract lists every aspect of your event. If it is not listed, before you sign the contract, make sure you go over any left out details.

Flashy ads and highly polished promo material might be something to watch out for, for often these are expensive to create and end up costing you in the end. This is not always the case, so make sure you do your research.

Easy Ways to Save

Cut down your guest list.

For weddings, arrange for the cake on your own.

Instead of hosting a bar stocked with every imaginable liquor, mixer and condiment, serve only beer, wine and champagne. Or, offer only one or two of those. If your heart is set on serving a true cocktail, add one signature drink. You might want to add just one or two versatile spirits to the drink menu, such as vodka or whiskey.

You may find a caterer that will allow you to bring your own wine and spirits. They may only charge you a corkage fee for wine served during dinner. If this is the case, choose a wine and spirit supplier who will buy back your unopened bottles, often referred to as a “buyback policy”.

Also, cut down the number of courses you have to offer, or offer a buffet instead of sit down meal. This will require less staff, and may give you more budgetary allowance for another item you have your heart set on.

Instead of dinner, serve lunch, brunch, or even just a dessert reception. Skip the hors d’oeuvres altogether and pile self-serve cocktail tables high with beautiful cheeses, breads and fresh fruits.

Formal vs. Casual

Fine china or other fancy serving ware costs more. Consider a more casual themed event. Guests appreciate delicious food served on a sturdy plate more than inferior foods served in the most dazzling setting.

Your menu should be chosen carefully, and work with your caterer closely. Keep away from high priced ingredients and labor intensive dishes. With this in mind, you will be well on your way to a spectacular event, with great pricing.
